# Share your number with your team

> Let teammates send from your WhatsApp Business number and create templates on it

When you [connect your own WhatsApp number](/docs/account/own-whatsapp-number), you are its **owner**. You can share it with people on your team, so they can create events that send from your number and write message templates for it — without connecting a number of their own.

## Number access is separate from event access

There are two separate kinds of access, and it helps to keep them apart:

* **Your role on an event** (Admin, Member, or View Only) controls what you can do inside that event — see [Team Collaboration](/docs/account/team-collaboration).
* **Your access to a WhatsApp number** controls whether you can pick that number for a **new** event and create message templates on it.

In practice:

| What you want to do | What you need |

| Send announcements on an existing event that uses the number | Admin or Member role on the event. Number access is not needed. View Only can't send. |
| Pick the number when creating a new event | Be the number's owner, or have accepted access to it |
| Create a message template on the number | Be the number's owner, or have accepted access to it — and the number must be connected |
| Invite or remove people on the number | Be the owner, or an admin on the number |
| Register the number, edit its Business Profile, or reconnect it | Be the owner |

## Roles on a number

| Role | What they can do |
| - | - |
| **Owner** | The person who connected the number. Everything: register it, set up branding, reconnect it if it disconnects, invite and remove anyone, and make people admins. |
| **Admin** | *"Can send from this number and invite or remove other people."* Admins can remove collaborators, but not other admins, and cannot make anyone an admin. |
| **Collaborator** | *"Can send from this number and create templates on it."* |

The **Manage access** screen sums it up: *"People with access can send messages and manage templates from this number. They cannot change its registration or business profile."*

  Only the owner can make someone an admin. When an admin opens the invite screen, the Admin option reads *"Only this number's owner can make someone an admin."*

## Inviting someone

You can invite people from the number itself, or straight from an event's Team screen.

### From the WhatsApp Business screen

    Tap **Your WhatsApp numbers** in the side menu, and find the number on the **WhatsApp Business** screen.

  <Step title="Tap Access">
    Tap the **Access** row on the number's card. It shows a summary such as **Access · Only you** or **Access · 2 people, 1 invitation pending**. This opens **Manage access**. The row is shown to the owner and to admins.

  <Step title="Invite someone">
    Tap **Invite**. On the **Invite someone** screen, enter their name and **Phone Number**, and under **What can they do?** choose **Collaborator** or **Admin**.

  <Step title="Send the invite">
    Tap **Send invite**. Weddingkart notifies them about the invite on WhatsApp and in the app. They don't need a Weddingkart account beforehand — they log in with that phone number.

### From an event's Team screen

On an event that sends from your own number, each person on the **Team** screen shows whether they can create templates on the number:

| Label on the team member | Meaning |
| - | - |
| **Can create templates** | They already have access to the number. |
| **No access to the WhatsApp number** | They are on the event team, but not on the number. |
| **Invited — waiting for them to accept** | An invite is out. |
| **Has not signed in yet** | They haven't logged in to Weddingkart yet. You can still invite them. |
| **WhatsApp number is disconnected** | Nobody can create templates until the owner reconnects it. |

If you can manage access to the number, a **Give access** button appears next to people who don't have it. Tapping it asks *"Give access to your WhatsApp number?"* and sends them an invite as a collaborator. You see *"Invite sent to \[name]. They get access once they accept."*

## Accepting an invitation

Invitations appear on the invited person's **WhatsApp Business** screen under **Invitations**: *"\[name] invited you to send from \[number]"* — *"If you accept, you can send messages and manage templates from this number. You can leave at any time."* Tap **Accept** or **Decline**.

The invitee may need to accept before they can use the number. Until then, the number appears in the event creation sheet but can't be picked, with the note *"Your access to this number is still pending"*. After accepting, the number appears under **Shared with you** — on the **WhatsApp Business** screen and in the **Who sends the messages?** sheet.

## Managing people

On **Manage access**, people appear under **Invitations pending** (marked **Invited**) and **People with access** (marked **Has access**). Tap the menu next to a person to:

* **Make admin** / **Remove admin** — owner only.
* **Edit name** — owner only. The phone number can't be changed. To give a different phone number access, remove this person and invite the new number.
* **Cancel invitation** — for someone who hasn't accepted yet.
* **Remove access** — the owner can remove anyone. An admin can remove collaborators, but not other admins.

### What removing someone does

When you remove someone, the app confirms: *"\[name] won't be able to use this number for any NEW wedding. Weddings they already have access to are not affected."*

Removing someone from the number does **not** remove them from events that already send from it. If you want them to stop sending on an existing event too, remove them from that event's team (or make them View Only) on the event's **Team** screen.

## Common questions

    Yes. On an existing event, the event's Admins and Members can send announcements from the event's number, whether or not they have access to the number itself. View Only team members can't send.

  <Accordion title="Why can't my teammate create a template on our event?">
    Creating a template needs access to the WhatsApp number, which is separate from access to the event. They'll see *"You need access to this WhatsApp number"* — *"Ask the number's owner to give you access — they can do it from the Team screen."* Tap **Give access** next to them on the event's **Team** screen, or invite them from **Manage access**.

  <Accordion title="I was invited, but I can't pick the number for my new event.">
    You may need to accept the invitation first. Open **Your WhatsApp numbers** from the side menu and tap **Accept** under **Invitations**. The number can also be unavailable for other reasons, such as a missing payment method or a business name under review — the sheet says which.

  <Accordion title="Can an admin make other admins?">
    No. Only the number's owner can make someone an admin or remove an admin.
  </Accordion>

  <Accordion title="Can people with access change the business profile or disconnect the number?">
    No. People with access can send messages and manage templates. They cannot change the number's registration or business profile. Only the owner can register, brand, or reconnect the number.
  </Accordion>

  <Accordion title="If I remove someone, do they lose access to events they are already running?">
    No. Removal only stops them from picking the number for new events. To stop them on an existing event, change their role or remove them on that event's **Team** screen.

  <Accordion title="The number disconnected. Can my collaborator reconnect it?">
    No. Only the owner can reconnect it. Collaborators and admins see *"Ask the number's owner to reconnect it."*

  <Accordion title="Can I invite myself or the same person twice?">
    No. Inviting yourself shows *"You can't add yourself as a collaborator on your own WhatsApp number."* Inviting someone who already has access or an open invite shows *"This person already has access or a pending invite."*
  </Accordion>

  <Accordion title="Does the person I invite need a Weddingkart account?">
    No. They can log in to Weddingkart with the invited phone number.
