Guests upload a photo of their government-issued ID directly in WhatsApp — no forms, no separate portal. You can then share the collected IDs with your venue security team or hotel reception ahead of check-in. This is useful for destination weddings, banquet venues with security check-in requirements, and any event where you need to verify guest identity in advance.

How it works

You send guests a WhatsApp message asking them to reply with a photo of their ID. The guest takes a photo of their Aadhaar card, passport, driver’s licence, or any other valid government document and sends it in the chat. The upload is stored against their guest profile in Weddingkart. Your team can then export all collected IDs via Google Sheets and share the sheet with venue security or hotel reception staff.

Go to Announcements

Open the Weddingkart app and tap Announcements in the main menu.

Create a new announcement

Tap Create Announcement and select the ID Collection template.

Review the message

The template asks guests to send a photo of their ID in the WhatsApp reply. You can optionally personalise the message before sending.

Select recipients

Choose the guests or groups who need to submit an ID. You can target all guests or a specific group, such as outstation guests or hotel guests.

Send

Tap Send to deliver the request immediately, or schedule it for a later date.

View collected IDs

Open the guest profile

Tap on any guest’s name in the Weddingkart app to open their profile. Uploaded ID photos are stored there.

Export all IDs to Google Sheets

On the Wedding Homepage, tap Export Guest Data and then Sync to export all collected ID data to your linked Google Sheet.

Share with your venue team

Share the Google Sheet with your venue security team or hotel reception. As more guests upload their IDs, the sheet updates automatically, so staff always see the latest submissions.

Send reminders

To follow up with guests who haven’t uploaded their ID, use the auto-created ID Cards: Not Sent group. This group contains only guests who haven’t submitted yet, so confirmed guests are not disturbed. You can resend the ID collection announcement directly to this group. If a guest uploads the wrong document, they can send a replacement at any time and their profile will update.

Privacy and security

ID data is stored securely and is only accessible to team members on your Weddingkart account. Guests upload directly to your wedding’s private channel — their documents are not shared with any third party outside of the team members you give access to.
ID card collection is available in the Standard plan only.

Best practices

  • Request ID cards at least 1–2 weeks before the wedding to avoid last-minute submissions.
  • Share the Google Sheet with your hotel reception or venue security team in advance, so they have time to process the IDs before check-in.
  • Regularly sync the Google Sheet to ensure it reflects the latest uploads.
