Quick Answer

How does an AI travel assistant help wedding guests?

An AI travel assistant ingests flight and train tickets guests share on WhatsApp, parses PNR / arrival time / terminal, clusters guests by arrival window, assigns drivers and vehicles to each batch, and dispatches day-wise schedules to drivers on WhatsApp — all without a separate app or form.

From ticket to driver in 4 steps

Guests share on WhatsApp. AI does the typing. Ops builds the roster. Drivers hit the road.

Step 1

Guest shares ticket

Guests forward their ticket to your Weddingkart WhatsApp number — no app, no form, no chasing.

  • PDF bookings
  • Phone screenshots
  • Airline or IRCTC SMS
  • Boarding passes
Step 2

AI extracts & derives

Flight number, PNR, arrival time, terminal, coach, berth — parsed in seconds, then geocoded to your venue's time zone.

  • Flights and trains
  • Any format
  • Arrival & departure
  • Geocoded timezone
Step 3

Ops builds the roster

Arrivals are clustered by time window into pickup batches. Your coordinator assigns drivers and vehicles to each batch — for pickups and drop-offs.

  • Pickup & drop
  • Driver assignment
  • Vehicle tracking
  • XLSX export
Step 4

Drivers get schedules

Each driver receives their full day on WhatsApp — every run, guest name, time, terminal/platform, and passenger phone.

  • No app needed
  • Day-wise runs
  • Guest contact
  • Auto-updated

Parses tickets from

IndiGo
Air India
SpiceJet
Akasa Air
Emirates
Qatar Airways
IRCTC
Rajdhani & Shatabdi
Vande Bharat

… and any PDF, screenshot, or forwarded SMS you can drop into WhatsApp.

Driver assignment

A full logistics desk, not just a ticket parser

Weddingkart clusters arrivals into pickup batches, lets your coordinator assign drivers and vehicles in two taps, and sends each driver their complete day on WhatsApp — pickups and drop-offs, all from one view.

Time-window clustering

Arrivals within a configurable window are grouped into one batch automatically — no manual sorting.

Driver & vehicle assignment

Assign any registered driver and vehicle to a batch in two taps. Capacity tracking prevents over-booking.

Pickup and drop-off

Manage both airport/station pickups on arrival and drop-offs after events from the same roster view.

XLSX driver handoff

Export the full roster as a spreadsheet — one section per batch, each guest's name and phone for the briefing folder.

Venue location

Pin the venue once, get the timezone right forever

The host picks the wedding city from an offline registry of 500+ Indian airports and stations. Every international ticket is then auto-converted to the local arrival time — no manual adjustments ever.

City & venue search

Search 500+ Indian cities, airports, and railway stations offline — no internet key needed to find the right arrival point.

Geocoded time zones

Once the venue is pinned, all international arrival times are auto-converted to the local time zone — no manual adjustments.

Multiple arrival points

Weddings spread across cities? Add multiple arrival points (airport, railway station, bus stand) and filter the timeline per point.

Built for planners who've lived the chaos

Fifteen ceremonies, four cities, 400 guests landing across three days. The old way doesn't scale.

Without Travel & Logistics Hub

The spreadsheet days

  • Chasing 200+ guests on WhatsApp for ticket details
  • Copy-pasting flight times into a shared spreadsheet
  • Missed pickups because a PNR was mistyped
  • Three coordinators on three tabs, still out of sync
  • Last-minute panic when a guest lands an hour early
  • Calling drivers one by one with updated pickup slots
  • Guests missing drop-offs because no one tracked departures
With Travel & Logistics Hub

One dashboard, every run covered

  • Guests forward tickets once — AI does the typing
  • Every arrival auto-lands on a sorted timeline
  • Drop-offs managed alongside pickups in the same roster
  • Arrivals auto-clustered into vehicle-sized batches
  • Drivers get their full day schedule on WhatsApp
  • One dashboard everyone on ops watches together
  • Early arrivals and late changes flagged automatically

Frequently asked questions

How does the Travel & Logistics Hub work end to end?+

Guests forward their flight or train ticket to the wedding's Weddingkart WhatsApp number. AI parses it in under a minute and adds the guest to a sorted arrival timeline. Your ops coordinator reviews the timeline, clusters arrivals into pickup batches (e.g. everyone landing within 45 minutes goes in one vehicle), assigns a driver and vehicle to each batch, and Weddingkart sends each driver their full day schedule on WhatsApp — no app install, no web login.

Which ticket formats and airlines does it support?+

Any PDF, image, or SMS a guest can forward on WhatsApp. Tested daily on IndiGo, Air India, SpiceJet, Akasa Air, Vistara legacy bookings, Emirates, Qatar Airways, Etihad, British Airways for NRI guests, plus IRCTC tickets and Rajdhani/Shatabdi/Vande Bharat confirmations. If the ticket text is readable, the AI will extract it.

Does it manage drop-offs and departures too?+

Yes. Weddingkart manages the full trip — arrivals for airport/station pickups and departures for drop-offs after the wedding events. Guests forward their return tickets the same way; the system derives their departure time and adds them to the departure roster alongside the arrival roster. Coordinators assign drivers to both legs from the same dashboard.

How does pickup clustering work?+

The arrival timeline groups guests into pickup batches using a time-window algorithm — guests arriving within a configurable window (default 45 minutes) are placed in the same batch, anchored at the first arrival in that window. Each batch shows the total passenger count so the coordinator can pick the right vehicle size. Batches are recalculated automatically when new tickets arrive or times change.

How do I register drivers and assign them to pickup batches?+

In the app you add each driver's name and phone number to your wedding's driver roster. When the pickup timeline is ready, you tap a batch and assign a driver and vehicle from the roster. Weddingkart sends the driver a WhatsApp message with every run in their day — guest name, arrival/departure time, terminal or platform, and passenger phone number — so they can drive with just WhatsApp open.

Can I export the pickup roster as a spreadsheet?+

Yes. Weddingkart generates an XLSX driver-handoff sheet with one section per pickup batch — cluster window, vehicle, and a passenger row for each guest with their name and phone. Useful when the ops team wants a printed briefing sheet or a backup outside the app.

How does it know the correct venue location and time zone?+

The host sets the wedding city once using the built-in city search, powered by an offline registry of Indian airports and railway stations. Once the venue location is confirmed, all arrival and departure times are normalised to that city's time zone automatically — so a guest flying in from Dubai appears at the correct local arrival time on your roster without any manual conversion.

Does it work for Gulf-Indian NRIs and international flights?+

Yes. The assistant handles tickets from every Gulf carrier (Emirates, Etihad, Qatar, flydubai, Gulf Air, SalamAir) plus international long-haul carriers. Time zones are normalised to the wedding city automatically, so a guest booked on a 22:45 Dubai departure appears on your timeline at the correct local arrival time in Udaipur.

What happens if a ticket fails to parse?+

Rare — but when a scanned image is illegible or a ticket format is unusual, the guest is flagged on your dashboard with a "needs review" badge. Your coordinator can enter the details manually with one tap, or ask the guest for a clearer screenshot on WhatsApp. No arrival silently slips through.

Is the Travel & Logistics Hub included in the Standard plan?+

Yes. Ticket parsing, the arrival timeline, pickup clustering, driver assignment, WhatsApp driver schedules, and the XLSX export are all included in the Weddingkart Standard plan at ₹8,499 per wedding. No per-ticket charge, no AI usage fee, no add-on.
