Quick Answer
How do I communicate with wedding guests on WhatsApp?
Import your guest list into Weddingkart, write one message with merge fields like name, ceremony, and hotel, and the platform dispatches a separately-personalised WhatsApp to every guest via the WhatsApp Business API — with per-guest delivery tracking and one-tap RSVP buttons. Guests don’t install anything; they receive, respond, and forward tickets from inside normal WhatsApp.

Why WhatsApp is the only channel that matters for Indian weddings
Email invites get opened by about a third of guests. Half of that third actually read them. A form-based RSVP link gets a tap from maybe 15% of the people it reaches. A typical Indian wedding runs on eight different WhatsApp groups, one shared spreadsheet, three coordinators, and a wedding planner who spends four hours a day copy-pasting the same message into 400 chats.
There’s exactly one channel every guest — from the 70-year-old dadi to the 18-year-old cousin — actually reads. Everything else is a workaround. The fight isn’t “WhatsApp vs email”; it’s “structured WhatsApp vs the unstructured WhatsApp chaos you’re running today.”
What a structured guest conversation looks like
One thread per guest. Invite, RSVP, follow-up, ticket collection, coordinator handoff — all inside WhatsApp, all logged.

From WhatsApp chaos to one dashboard
Eight groups, one spreadsheet, three coordinators
- Typing 400 phone numbers into a WhatsApp broadcast list, twice (256-person cap)
- Three coordinators forwarding the same PDF and hoping the right 40 people got it
- No read receipts — you have no idea who saw the mehendi timings
- RSVPs over Google Form link that half the aunties never tap
- Excel sheet of who’s sent tickets, updated by hand, out of date by Tuesday
One list, one dashboard, one thread per guest
- Import once, send to 2,400 guests with merge fields live
- One dashboard — broadcasts, replies, RSVPs, delivery all in one view
- Per-guest read status — spot the 18 people who haven’t seen the message
- One-tap RSVP buttons inside WhatsApp, 3–4× the response rate of forms
- Tickets auto-parsed by AI and filed against the guest, zero manual entry
How it works
Upload the guest list
Import from Excel or CSV. Tag by brideside/groomside, ceremony, VIP, hotel. This is the one-time setup — five minutes, done.
Compose a personalised message
Write one message with merge fields. Pick your language — Hindi, Hinglish, English. Add one-tap RSVP buttons if you want responses tracked.
Send in one tap, track delivery
Hit send. Watch per-guest delivery, read receipts, and RSVPs update live. Follow up only with the 18 people who haven’t responded.
What you get
Guest list & import
Import from Excel or CSV. Tag by brideside/groomside, ceremony, VIP, hotel, pickup — personalise broadcasts against any attribute.
WhatsApp at scale
Send invites, announcements and reminders via WhatsApp Business API. Schedule messages, target segments, run sequences.
One-tap RSVP
Native WhatsApp buttons — "Attending — 2 People", "Can’t make it". Headcount and status update automatically, no forms.
Delivery & read tracking
Per-guest status: sent, delivered, read, failed. Filter to non-responders, follow up only with them, export any slice to Excel.
Tickets & IDs on WhatsApp
Guests forward flight tickets and ID cards — AI extracts flight number, PNR, arrival time. All filed against their profile.
Post-wedding thank-yous
Schedule personalised thank-you messages for after the wedding, with optional digital cards — same platform, same list.
Frequently asked questions
How do I communicate with wedding guests on WhatsApp at scale?+
Import your guest list into Weddingkart, write a single message with merge fields like first name, ceremony and hotel, and the platform dispatches a separately-personalised WhatsApp to every guest via the WhatsApp Business API. You get per-guest delivery receipts, read status, and one-tap RSVP responses on the same dashboard — no manual copy-paste, no group chats, no guesswork about who actually saw it.
Do my guests need to install the Weddingkart app?+
No. Guests only need WhatsApp, which every one of them already has. They receive messages, tap RSVP buttons, and forward tickets from inside their normal WhatsApp. The Weddingkart app is only for you — the couple, parents, or wedding planner running the list.
Can I send different messages to brideside and groomside?+
Yes. Tag each guest as brideside, groomside, or both at import time — then target your broadcasts by that tag. Most couples run at least four separate threads: brideside-ceremony, groomside-ceremony, brideside-reception, groomside-reception. Scheduled messages and reminders filter the same way.
How does one-tap RSVP actually work inside WhatsApp?+
The message arrives with tappable buttons — "Attending — 2 People", "Can’t make it", "Attending — just me" — rendered natively by WhatsApp. No forms, no external link, no typing. The guest’s tap updates their status and headcount in your dashboard in real time. Response rates typically run 3–4× higher than link-based RSVPs because there’s nothing to load.
What about guests on non-Indian numbers — US, UK, Gulf?+
Works the same. WhatsApp Business API is international. Guests on +1, +44, +971, +61 numbers receive, RSVP, and forward documents exactly like Indian guests. The only difference is message template approvals for first-touch messages — that’s handled on our side, not yours.
Can I schedule messages in advance?+
Yes. Every broadcast can be scheduled for a specific date and time in your local timezone — 7-day reminders, 3-day reminders, "day-of" messages with venue coordinates. You set the schedule once at the start of the planning window and the platform fires the sequence for you.
What happens if a message fails to deliver?+
Failed sends are flagged per-guest with the reason — number not on WhatsApp, number deactivated, blocked, or template rejected. Your coordinator sees a filtered list of failures, can edit the number or switch to SMS fallback, and retry with one click. Nothing silently disappears.
Does it collect RSVPs, travel tickets, and ID cards in one place?+
Yes. Every guest has a single profile that holds their RSVP status, headcount, hotel assignment, forwarded travel ticket (with AI-extracted flight/train details), and ID documents. Everything a guest sends to the wedding WhatsApp number files against their profile — no spreadsheet maintenance on your side.
What languages are supported in the messages?+
Any language WhatsApp supports — which is effectively all of them. Hindi, Hinglish, Tamil, Bengali, Urdu, Punjabi, Gujarati, Marathi and more work natively. For Indian weddings we recommend Hinglish for family and English for professional contacts; the platform lets you author message variants per segment.
Is there a cap on number of guests or messages?+
No practical cap. We have run weddings with 2,400+ guests across five ceremonies without throttling. WhatsApp Business API has its own rate limits which we handle invisibly — your experience is "hit send, it goes out."
Is this the same as the Weddingkart app?+
Yes. Guest communication on WhatsApp is the core of the Weddingkart platform, not a separate tool. Use it at app.weddingkart.co in your browser, or download the iOS and Android apps. Sign up is free; the full guest communication toolkit is included in the ₹8,499 Standard plan.
How is this different from just using WhatsApp broadcast lists?+
WhatsApp’s native broadcast lists cap at 256 recipients, don’t personalise, don’t give you delivery receipts, and can’t show RSVP buttons. Running a 400-person wedding through them means splitting into two broadcasts, no merge fields, no read tracking, and typing every guest’s number into the broadcast list manually. Weddingkart handles all of that — plus you keep a per-guest dashboard.
Stop typing the same message 400 times
Import your list, personalise once, hit send. Included in the ₹8,499 Standard plan. Free to start.
