Quick Answer
How do I schedule WhatsApp announcements for a wedding?
Draft the WhatsApp message, pick a send time, pick a guest segment, and Weddingkart delivers at the scheduled moment via the Business API — per timezone, per segment, with delivery tracking. No manual on-the-day sends, no drift.

Queue it up. Walk away.
Every ping your wedding needs — the T-14 RSVP chase, the T-7 venue address, the day-of baraat reminder — scheduled once, months ahead, then you forget about it. On the day, the messages go out while you’re in the mandap.
Works with WhatsApp, voice broadcasts, and the AI voice agent. Same scheduler.

What a real wedding’s schedule actually looks like.
This is the sequence our planners set up three weeks before the date, then don’t touch again. Eight messages across three channels, fully automated.
Save-the-date reminder
All confirmed + pending · 740 guests
Voice-agent RSVP chase
Non-responders only · ~120 guests
Venue address + dress code
Confirmed attending · est. 520 guests
Uncle-ji's morning blessing
Groom's family · 180 guests
Haldi timing (05:30 AM)
Haldi ceremony list · 80 guests
Baraat starting — be in the lobby
Bride's side · 340 guests
Everything the scheduler handles.
WhatsApp, voice, AI agent — same queue.
You don’t run three different timing tools. Compose in whichever channel screen makes sense, flip to “Send on”, pick the time. The scheduler is channel-agnostic.

See the shape of your wedding, in messages.
The wedding week reveals what you actually forgot to queue.
A planner we work with — 28 weddings a year, Jaipur-based — set up the same 6-message sequence for every wedding: save-the-date, RSVP chase, venue address, ceremony timings, baraat reminder, post-wedding thank-you. She clones it from the previous wedding in about eight minutes and shifts the dates. That’s it — her announcement work is effectively done before the wedding week begins.
What she said mattered most: the scheduler “took the 2 AM panic out of weddings.” The thing you forgot to send isn’t something you discover at 2 AM in the groom’s-family hotel suite. It either got queued in week 1 of planning, or it doesn’t go out.
The most-scheduled message across 200+ Weddingkart weddings: the T-7 day “venue address + dress code” WhatsApp. The second most: the day-of baraat reminder voice call, fired at the muhurat-calculated start time.
Frequently asked questions
Which channels can I schedule — WhatsApp only?+
All three. WhatsApp announcements (template + free-form), voice broadcasts (your recorded message played as a call), and AI voice-agent calls (conversational RSVP collection). The schedule doesn't care which channel — you compose the message in the usual screen, then switch "Send now" to "Send on" and pick a date-time.
How does the AND/OR group targeting work?+
Two modes. "All selected" means the schedule goes to anyone in any of the groups — Bride's family OR Close friends OR Office colleagues (union). "Common in selected" means only to guests who appear in every group — Confirmed RSVP AND Vegetarian AND Staying at Taj (intersection). Useful for the week-before meal-confirmation call, where you only want to ping guests who are both confirmed and have a preference on record.
When exactly does the schedule fire — what timezone?+
You pick the date-time in your local zone, and we store both the local string and the UTC equivalent. The scheduler checks every minute and fires whenever a schedule's UTC time has passed. So "15 Jan, 10 AM IST" fires exactly when the clock hits 10 AM in Delhi — regardless of where you or your planner are at that moment.
What if I add new guests to the target group after scheduling?+
They get included. Guest lists resolve at send time, not at schedule time. So if you schedule "All confirmed guests" to receive a reminder on Jan 15, and then 12 more people confirm between now and then, those 12 are automatically in the send. Same the other way — anyone who declines after the schedule is created is dropped.
Can I cancel a schedule after creating it?+
Yes, any time before it starts sending. Cancellation is instant — the schedule moves to "cancelled" state, no messages go out. You can also resume a cancelled schedule within the 24-hour window, as long as the scheduled time hasn't passed. Once a schedule has started processing, you can't stop it mid-flight — only the queue for the next schedule, not the one in progress.
Is there a limit on how far in advance I can schedule?+
No hard limit — we've had planners schedule reminders 6 months out for destination weddings. Practical advice: scheduling more than 30 days ahead is often a flag that the message will be stale by the time it sends (venue might change, RSVP counts will shift). Most teams use a rolling 7–21 day horizon.
What do I see after a scheduled send completes?+
The schedule shows: total guests targeted, how many had a valid phone/number, how many messages/calls succeeded, how many failed and why (e.g. no WhatsApp on number, invalid phone, opt-out). Each successful send links through to the individual guest's delivery log. Failed calls on voice schedules auto-refund.
Can I set up a recurring schedule — e.g. every Monday at 10 AM for 3 weeks?+
One-time schedules only, today. Recurring is on the roadmap — in practice planners prefer to clone a schedule and edit the date rather than commit to a recurring series, because wedding logistics shift constantly. If you want three reminders across three weeks, create three schedules, each cloned from the previous one.
Set it in month one. Never think about it again.
Eight messages, three channels, one scheduler. Clone it from your last wedding and ship — this one’s already queued.
