Quick Answer
Can you change the WhatsApp Business display name and profile picture?
On your own number, yes to both, but they work very differently. The profile picture changes instantly with no document and no approval - you can change it per wedding, per season, or to a couple's photo as often as you like. The display name is reviewed by Meta each time you change it, usually within a day, and it has to genuinely represent your business rather than being a slogan or a generic phrase. On a shared sending number owned by your provider, neither can be changed, because the name and photo are a single global setting for everyone using that number.

Changing Your WhatsApp Name and Photo

This is the most common question we get after setup, and the answer is more encouraging than people expect - as long as you are on your own number.
The two are not the same

The picture is free and instant. The name is reviewed. Once you know that, most of the confusion disappears - people assume that because the name needs approval, everything does.
The picture, in practice
Change it whenever you like. Per wedding, per season, to a couple’s photograph the week of their sangeet, back to your logo afterwards. No document, no review, no waiting.
A lot of planners use this deliberately: guests open a chat and see the couple, which reads as personal rather than corporate, and the planner’s name still sits at the top as the sender. It is a small thing that makes an invitation feel less like a marketing blast.
The name, and what passes
Meta reviews the display name because it is the anti-impersonation control. It wants the name to honestly represent the business guests will think they are messaging.
Your registered company name always passes. A trading name you can evidence is in genuine public use generally passes. What fails is anything that reads as marketing rather than identity - a slogan, a generic category word, a phrase containing an offer, or a name with no visible connection to the business behind it.
You can change it later, but each change goes through review again, so it is worth getting right the first time rather than treating it as a field you will tune.
On a shared number, neither moves
This is the part worth being blunt about, because people spend real effort trying to work around it.
If you are sending from a provider’s shared number, the name and the photo are a single global setting for every business using that number at the same time. Changing the picture to one couple’s photo would change it for every other planner’s guests too. So it is fixed - and no document, escalation or paperwork unlocks it, because it is not a permissions problem. It is arithmetic.
Which is the honest reason most event companies eventually move to their own number: not deliverability, not cost, but wanting their own name and their own picture at the top of the chat. That choice is laid out in choosing your sending number.

Frequently Asked Questions
Do I need a document to change my WhatsApp profile picture?
No. On your own number the profile picture changes instantly - no document, no approval, no waiting - and you can change it as often as you want. This catches people out because so much of WhatsApp setup involves paperwork that they assume the photo does too. It does not.
Can I put the couple's photo as the display picture for one wedding?
On your own number, yes, and many planners do exactly that - swapping the picture per wedding so guests see the couple rather than a company logo. On a shared sending number you cannot, because that number is used by many companies at once and the photo is one global setting. Changing it for you would change it for everyone.
Why does the display name need approval?
Because it is what guests see at the top of the chat, and Meta is preventing impersonation. It checks that the name genuinely represents the business behind the number. Your registered company name always passes; a well-established trading name usually does. Slogans, generic category words and anything containing an offer tend to be rejected.
How long does a display name change take?
Usually within a day. It goes back through the same review as the original name, so it is not instant, but it is rarely slow either. Plan around it if you are changing the name close to a wedding - and remember the picture, which is the part guests actually notice first, needs no approval at all.
Can I keep a generic sender name but use my own photo?
No - the two travel together. On a shared number both are fixed; on your own number both are yours, and the name will show as your business. You cannot mix a generic name with a custom photo, because they belong to whichever account owns the number.
